1. Who we are

Portworth Systems Ltd ("Portworth", "we", "us") is a technology company based in Nairobi, Kenya. We are the data controller for personal data collected through www.portworth.com. Our products Goomzo and SohosERP have their own websites, which may publish their own privacy notices.

We process personal data in line with the Kenya Data Protection Act, 2019 and its regulations.

2. Data we collect

  • Information you give us: your name, email address, phone number, company and the content of your message when you contact us or request a demo.
  • Technical data: IP address, browser type, device information and pages visited, collected through server logs and, with your consent, analytics cookies.
  • Cookie preferences: the choices you make in our cookie banner.

3. How we use your data

  • To respond to enquiries and provide product demonstrations (legitimate interest, or steps taken at your request before a contract).
  • To provide and support services you have contracted with us for (performance of a contract).
  • To keep our website secure and working properly (legitimate interest).
  • To understand how our website is used and improve it, and to send marketing (your consent, which you can withdraw at any time).
  • To meet legal and regulatory obligations (legal obligation).

4. Sharing your data

We do not sell personal data. We share it only with service providers who help us run our business, such as hosting, email and analytics providers, under contracts that require them to protect it. Enquiries sent through our contact form are stored as leads in our customer relationship system (SohosERP). Our contact form is protected by Google reCAPTCHA, which processes your IP address and browser data to detect spam; this is subject to the Google Privacy Policy and Terms of Service. We may also disclose data where required by law. If data is transferred outside Kenya, we ensure appropriate safeguards are in place as required by the Data Protection Act.

Cookies are small text files stored on your device. We use the following categories:

We keep personal data only as long as needed for the purposes above. Enquiries are generally kept for up to 24 months, and customer records for as long as required by law. Under the Data Protection Act, 2019 you have the right to:

  • be informed of how your data is used;
  • access the personal data we hold about you;
  • object to processing of all or part of your data;
  • have inaccurate data corrected and false or misleading data deleted;
  • withdraw consent at any time;
  • data portability.
